Turf Smart Lawn & Snow Care (“Turf Smart”, “we”, “us”) provides lawn care and snow removal services in Ontario, Canada. This policy explains what personal information we collect through turfsmart.ca and when you book or request a quote, how we use it, who we share it with, and the choices you have. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
When you book or buy a service
When you check out, we collect your name, service address, billing address, email address, phone number, the package and add-ons you choose, and any notes you leave for our crew (for example a gate code or where to pile snow).
When you request a commercial quote
Our commercial quote form asks for your company or property name, your name and role, email address, phone number, the property address and details about the site, such as parking spaces, lot size, walkways, surface type, service preferences and timing. We use these details only to review your property and prepare your quote.
When you contact us
If you email us, call us, or use a contact or booking form on our website, we keep the information you give us so we can respond and keep a record of our conversation.
Payment information
Card payments are processed by Stripe. Your card number is entered into Stripe’s secure payment fields and goes directly to Stripe. We never see or store your full card number. We receive limited details from Stripe, such as the payment status, the card type and the last four digits.
Information collected automatically
Like most websites, our web server records basic technical information when you visit, such as your IP address, browser type and the pages you request. We use cookies that are needed for the site to work, as described below.
How we use your information
- To schedule and provide the services you book, and to contact you about them.
- To process payments and keep records for accounting and tax purposes.
- To prepare and follow up on quotes you request.
- To send you emails about your order, booking or quote, such as confirmations and receipts.
- To answer your questions and provide customer support.
- To keep our website secure and prevent spam and fraud.
- To meet our legal obligations.
We do not sell or rent your personal information. We will only send you marketing emails if you have agreed to receive them, and you can unsubscribe at any time.
Consent
By booking a service, submitting a form or contacting us, you consent to us collecting and using your information for the purposes described in this policy. You can withdraw your consent at any time by contacting us, although we may not be able to provide some services without the information we need, such as a service address.
Who we share information with
We share personal information only with service providers who help us run our business, and only as much as they need to do their job:
- Stripe processes card payments.
- Our web hosting provider stores our website and its data.
- Google delivers our website emails through Gmail, provides reCAPTCHA spam protection on some forms, and serves web fonts on some pages.
- Trustindex displays our Google reviews on some pages.
We may also disclose information if the law requires it, for example in response to a valid court order.
Where your information is stored
Some of our service providers, including Stripe and Google, may store or process information outside Canada, including in the United States. Information stored in another country may be subject to that country’s laws, including lawful access by its authorities.
Cookies
Cookies are small files your browser stores for a website. We use cookies that are needed for the site to work:
- Cart and checkout cookies (WooCommerce) remember the package in your cart and keep your checkout session working.
- Login cookies (WordPress) keep you signed in if you have an account.
- Security cookies help protect our forms and checkout from spam and fraud. This includes Google reCAPTCHA on some forms and Stripe’s fraud prevention at checkout.
We do not use advertising cookies. You can block or delete cookies in your browser settings, but the cart and checkout may not work without them.
How long we keep information
We keep personal information only as long as we need it for the purposes in this policy. Order and payment records are kept for as long as required for tax and accounting purposes, which in Canada is generally six years. Quote requests that do not become customers are deleted when they are no longer needed.
How we protect information
Our website uses an encrypted connection (HTTPS). Access to customer information is limited to people who need it to provide our services, and our service providers use their own security measures. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.
Your rights
You can ask us to:
- Tell you what personal information we hold about you and give you a copy.
- Correct information that is inaccurate or incomplete.
- Delete your information when we no longer need to keep it.
- Stop using your information for marketing.
